Create and send sales invoices

Create formal customer invoices, download PDFs, send invoices and mark them paid or void.

Before you start

Sales invoices are for formal customer billing. They are separate from quick POS receipts and repair labels, but they share the same shop branding and customer workflow.

Step-by-step

  1. Open Business, then Invoices.
  2. Choose New invoice.
  3. Add the customer and invoice line items.
  4. Save the invoice and check the totals.
  5. Use Download PDF when the customer needs a copy.
  6. Use Send invoice when the invoice should be emailed to the customer.
  7. Use Mark paid once payment has been received, or Void invoice when the invoice should no longer be used.

Good to know

Use POS checkout for quick counter receipts.

Use Business > Sales History to review completed POS sales, repair payments and website orders.

Use Settings > Invoice Settings to choose the invoice template, header, footer and terms shown on invoice PDFs.

Options and limitations

Options

  • New invoice creates a formal invoice record.
  • Download PDF gives a copy for saving or sharing.
  • Send invoice emails the invoice to the customer where email settings allow.
  • Mark paid and Void invoice control the invoice status.

Limitations

  • Invoice Settings control invoice templates and wording, but there is not a full drag-and-drop invoice designer.
  • Email delivery depends on correct customer email details and configured email settings.
  • Invoices are not the same as repair labels or seller purchase receipts.
