How Manage Repairs collects, uses, stores and protects personal data.

Who we are
Manage Repairs provides shop management software for retail, service and repair businesses. For platform enquiries, contact [email protected].
Information we collect
We collect account details, shop details, contact messages, billing status, usage information and support communications. Shops may store their own customer records, repair records where relevant, product images, notes, payments, website orders and inventory data inside the platform.
Account, user and workspace data
Account data may include names, email addresses, phone numbers, company names, branch details, staff roles, language, country, currency, plan choice, login activity, setup progress, workspace settings and support preferences.
Shop customer and operational data
A shop may choose to store customer contact details, repair notes, device or item identifiers, photos, quotes, invoices, payment status, stock records, supplier notes, used-device purchase records, public website orders and customer communication history. The shop decides what it enters and remains responsible for making sure it has permission or another lawful basis to hold it.
Technical, security and diagnostic data
We may process server logs, browser details, approximate location, session identifiers, error reports, page paths, clicked interface elements, login attempts and security events so we can run the service, detect suspicious activity, fix faults and understand where users need help.
How we use data
We use data to provide the service, create free or paid workspaces, support users, secure the platform, process subscriptions, improve reliability and contact workspace users about their account.
Lawful basis
We process account and service data to perform our contract, comply with legal obligations, pursue legitimate business interests and, where required, rely on consent.
Controller and processor position
For visitor, signup, billing, security, analytics and platform-support data, Manage Repairs normally decides the purpose and may act as controller. For customer, repair, sales, inventory and website order data entered by a shop, the shop normally decides the purpose and Manage Repairs acts as processor.
Security and fraud prevention
We process limited technical data such as device, browser, session, IP-derived location, security events and error logs to protect accounts, detect abuse, investigate faults and keep the service reliable. Raw IP addresses are not shown in the admin analytics view for normal reporting.
Website location analytics
When someone visits a public Manage Repairs page, our server may use the IP address already needed to deliver the page to estimate country, region or city. We do not store the raw IP address for this purpose, do not set analytics cookies before consent, and use the data only to understand broad demand and improve the service.
Chat support records
When visitors or workspace users ask questions through the Manage Repairs chat, we may keep the question, assistant reply, page context and review status so we can improve support answers, identify confusing screens and follow up on unresolved issues. Users should not include unnecessary personal or customer data in chat messages.
Sharing data
We use trusted processors such as hosting, email, analytics, support and payment providers. We do not sell customer data.
Provider and vendor checks
Before relying on a provider for important platform functions, we aim to consider the provider’s role, the type of data involved, security expectations, confidentiality commitments, data processing terms, operational need and whether a lower-data alternative is practical.
Payments
Card and subscription payments are handled by payment providers such as Stripe. Manage Repairs does not store full card numbers. We may store payment status, invoice references, plan details and customer identifiers needed to manage subscriptions and account access.
Support access
Support or administration access to shop data is limited to what is needed to troubleshoot, secure, maintain or improve the service. Access should be role-limited, logged where practical and used only for legitimate operational purposes.
Account communications
We may send service emails about account access, security, setup, billing, product changes, support replies or important policy updates. Marketing or re-engagement emails should include practical controls or preferences where required by law.
Shared barcode suggestions
Manage Repairs may use non-personal product metadata such as GTIN/barcode, product name, brand and category to improve shared barcode suggestions and catalogue quality. We do not use customer data, repair data, staff data, stock levels, prices, costs, suppliers, notes, photos or shop-private SKU for this shared catalogue.
Data minimisation
Shops should only upload information, images and item details needed to manage the sale, repair or customer relationship. Unnecessary personal data should not be stored in the platform.
Children and sensitive data
Manage Repairs is business software and is not intended for children. Shops should avoid storing special-category or highly sensitive personal data unless it is genuinely required for their own lawful business purpose and protected appropriately.
Retention
We keep account, sales, service and repair data while the shop account is active, then retain limited records where needed for legal, security, billing, dispute, backup or fraud-prevention purposes. Backups may retain deleted data for a limited time until normal backup rotation completes.
Your rights
UK and EU users may request access, correction, deletion, restriction, objection or portability, subject to legal limits.
